Processing of (personal) data by the entity in charge of the online application process

This notice explains what we do with your personal data when you apply for a job with us. It covers our online application process only. If you join us, we will give you a separate Employee Privacy Notice.
1. Who is responsible for your data
The entity that is hiring is the data controller for your application.
If you are applying for a UK-based vacancy:

The location shown on the vacancy tells you which entity is hiring.
For anything to do with your data, including the rights in Section 6, contact us at privacy@leaningtech.com. We do not have a designated Data Protection Officer, as we are not required to appoint one at our current scale. The CEO is the point of contact for data protection matters.
2. What we collect
From you, through our application form:
- Name, email address, phone number
- Location you are applying to, and when you are available to start
- Hours per week you are available
- Whether you have the right to work in the relevant country
- University or programme, if you tell us
- A link to your portfolio, GitHub or LinkedIn, if you provide one
- How you heard about the role
- Your gender, if you choose to give it, so that we address you correctly
- Your CV, and any other documents you choose to upload
Your CV and documents may contain further personal data, such as your address, education history or date of birth. You decide what to include.
We also record information we generate during the process: interview notes, interviewer evaluations and scores, internal comments, our correspondence with you, and which stage of the process you reached.
We do not ask for your salary history, and you do not need to give it.
We do not ask for special category data (such as health, ethnicity or religion) as part of the application process, and you should not include it. If you tell us about a disability or health condition so that we can make adjustments for an interview, we will use that only to arrange the adjustment.
3. Why we use it, and on what legal basis

We do not use automated decision-making or profiling to screen applications. A person reads every application.
4. How long we keep it
If we do not offer you a role: we anonymise your data 28 days after we close your application. After that, only anonymous records remain, such as the date of the application and the channel it came through, which we use for statistics. Anonymisation cannot be reversed.
If you consent to our talent pool: we keep your details for up to 12 months from the close of your application, so that we can contact you about future openings. This is a separate, optional tick on the application form. Ticking it is entirely up to you and makes no difference to how we assess your current application. You can withdraw at any time by emailing privacy@leaningtech.com, and we will delete your details.
If you accept an offer: your application data moves into your employee record and is kept under our Employee Privacy Notice.
5. Who sees it, and where it goes
Inside the company, access is limited to the people involved in that specific hire: the hiring manager, the interviewers for that role, and the CEO. Interviewers see only the candidates assigned to them.
We use Personio SE & Co. KG as our HR and applicant management system. Personio hosts your data on our behalf, within the EU, and acts as our processor under Article 28 of the GDPR. We have a data processing agreement with them. Your data is transmitted using TLS encryption.
We use Cronofy B.V. as a sub-processor to Personio, to schedule interviews against our team's calendars. Where an interview is arranged, this means your name and the interview details appear in the calendar entry.
We use Google Workspace for email correspondence with you.
We do not sell your data, and we do not share it with any other third party unless we are legally required to.
Your data is held in the EU or the UK. Where any transfer between the UK and the EU is involved, it relies on the relevant adequacy decisions in force between the two.
6. Your rights
You have the right to ask us for a copy of your data, to correct it, to have it deleted, to restrict how we use it, to receive it in a portable format, and to object to our use of it where we rely on legitimate interests. Where we rely on your consent, you can withdraw it at any time.
Email privacy@leaningtech.com and we will respond within one month. There is no charge.
Two practical points. Once your data has been anonymised, we cannot retrieve it, so a request after the 28 day point may have nothing to act on. And your right to see interview notes and evaluations is not absolute, since those documents also contain the personal data and opinions of our staff, so we may redact.
If you are unhappy with how we have handled your data, please tell us first, as most things are resolved quickly. You also have the right to complain to a regulator:

7. Changes
We may update this notice as our processes or the law change. The version published on our career page is always the current one, and it applies to any application you make after it is published.
